Most of what a non-resident LLC owner does in the US is remote. The exceptions are physical: an in-person appointment at a US bank branch, a sit-down with an accountant or attorney before tax season, a signing ceremony in front of a notary, a working session with a US client. For those days, we keep meeting rooms inside the same Brickell building where your CMRA address already lives. The room is in our suite at 1395 Brickell Avenue, Miami, FL 33131 — the same address that appears on your bank applications and Sunbiz filings, on the spine of the City of Miami's designated Brickell financial-district redevelopment area Miami Community Redevelopment Agencies — public data. You book by the hour from the dashboard, you walk in through the lobby past the same staffed front desk that signs for your certified mail, and you leave the room when your meeting is done. No coworking membership, no day passes for unused weeks, no annual contract — just a room, a price per hour, and a door that locks.

What a meeting room in our suite actually is.

A meeting room in our Brickell suite is a private, enclosed office inside the same floor where we receive your mail and run the front desk. It is not a coworking floor and it is not a shared hot-desk area. When the room is booked it belongs to the people on the booking — door closed, lights and HVAC on, the conference table and chairs ready, the screen powered on, a working whiteboard, and a quiet hallway outside. The lobby on the ground floor is staffed and the elevator bank is access-controlled, which means a banker, a notary, or a client you invited can walk in, give your name at the desk, and be sent up to the suite without an escort scramble on your part. The building is in the heart of the Brickell financial district, two blocks from the Miami Metromover Brickell station and a short walk from the bank branches and law firms that cluster the same few blocks Miami Community Redevelopment Agencies — public data. The room itself is unremarkable on purpose: clean, neutral, well-lit, video-call-friendly. The point is the door, the privacy, and the address on the building.

Room types and what each one fits.

We keep a small set of room types in the suite rather than one giant boardroom. The two-person focus room fits a one-on-one with an accountant, a private call with a banker, or a notary signing for a single applicant — a small desk, two chairs, a screen, a door that locks. The four-person meeting room is the default for client kickoffs, vendor reviews, and Form 1583 notarization sessions when both LLC members travel together — a real table, four chairs, a wall screen, and enough room to spread documents out. The eight-person conference room handles working sessions with a US client, a small board meeting, or a signing ceremony with multiple witnesses — a long table, eight chairs, the same screen with HDMI and wireless casting, and a side credenza for laptops and bags. All three room types share the same booking flow, the same per-hour price band, and the same building. The difference is seats and table size, not amenity tier.

How booking, check-in, and cancellations work.

Booking is a per-hour reservation made from your dashboard. You pick the room type, the date, and the start and end hour inside our standard Monday-to-Friday office window, and the system holds the room the moment you confirm. The minimum booking is one hour and the maximum on a single confirmation is the full business day. Same-day bookings are accepted up to the start hour as long as the room is open on the calendar. Check-in is the same lobby walk-through any guest of the building uses: you give your name at the staffed front desk, the desk confirms your booking, and you take the elevator to our floor where a member of our staff opens the suite and the specific room for you. We do not require a separate building pass for the booking holder or for guests on the booking. Cancellations and reschedules made at least twenty-four hours before the start hour are free; cancellations inside the twenty-four-hour window are billed as a single hour of the booked room type, which is the only fee the room workflow ever charges outside the per-hour rate itself.

Who actually needs a physical room — and when.

Most non-resident LLC owners run the company without ever needing a physical room. The exceptions are predictable. A US bank branch visit, when the bank you applied to needs an in-person appointment for ID verification or signature cards, and you want a quiet room nearby to prepare and to debrief — book a focus room for the hour before and the hour after. An IRS or state appointment, where you want a private space to sort paperwork and call your accountant in between meetings. A signing ceremony with a Florida notary on Form 1583, Operating Agreement amendments, deeds, or any document that needs witnesses — the four-person room is the standard fit. A working session with a US client or vendor who expects to meet at a real Miami office before signing a contract. A small board meeting or partner sit-down when both LLC members fly into Miami the same week. We do not push the rooms as an everyday workspace; we keep them available so that the days you do need to be physically present in Brickell are not also the days you spend hunting for a place to meet.

What is included in the hour and what gets billed separately.

The per-hour rate covers the room itself, the lobby and elevator access for you and your invited guests, climate control, wifi, the screen and its HDMI cable, the whiteboard and markers, water, and basic coffee and tea service drawn from the suite kitchenette. Reception of your guests at the staffed front desk is included for any name you add to the booking before the meeting. Anything that requires a separate cost or a separate person is billed as a flat add-on you can attach to the booking from the dashboard: an on-site Florida notary scheduled for a specific hour, document printing beyond a single short stack, video-conference recording, or catering brought in through our preferred Brickell vendor. Bookings for our own customers — anyone with an active Virtual Office, Virtual Mailbox, or Mail Scanning plan — start at the {priceFromUsd} USD per hour rate for the two-person focus room; the four-person and eight-person rooms sit in higher bands published in the dashboard. The rooms are also available to non-customers as a stand-alone booking at a posted walk-in rate, with the same workflow and the same add-ons.

Included in every meeting-room hour

  • The private room itself with door, table, chairs, screen, HDMI, wireless casting, whiteboard, and markers, inside our suite at 1395 Brickell Avenue.
  • Staffed lobby check-in for you and every guest name added to the booking, with elevator access to our floor and a staff hand-off to the room.
  • Wifi, climate control, water, and basic coffee and tea service from the suite kitchenette for the duration of the booking.
  • Per-hour billing with a one-hour minimum, a full-business-day maximum on a single confirmation, and free cancellation or reschedule outside the twenty-four-hour window.
  • Dashboard-managed booking history with the same audit trail your mail items use, including booked-by, guest list, and check-in timestamps.

Not included by default

  • On-site Florida notary appointments for Form 1583 or other documents — scheduled as a flat add-on per signing session through a Florida-licensed partner.
  • Catering, document printing beyond a short single stack, video recording, and any vendor brought into the suite — itemized as a flat add-on per booking.
  • Monthly access or unlimited use — meeting rooms are sold per hour; there is no membership tier and no dedicated-desk plan.

Meeting-room questions, answered

Do I have to be an existing customer to book a meeting room?
No. Meeting rooms are open to non-customers as a stand-alone booking at a posted walk-in per-hour rate, with the same room types and the same workflow. Existing Virtual Office, Virtual Mailbox, and Mail Scanning customers book at the customer rate that starts at {priceFromUsd} USD per hour for the two-person focus room, with the four-person and eight-person rooms in higher bands shown in the dashboard. There is no membership requirement either way — every booking is per hour.
Can guests I invite walk into the building on their own?
Yes, as long as you add their names to the booking before the meeting. The lobby at 1395 Brickell Avenue is staffed; your guest gives their name at the front desk, the desk confirms them against your booking, and a member of our staff sends them up to the suite. You do not need to come down to escort each guest separately. For signing ceremonies with multiple witnesses or for client meetings with a fixed attendee list, adding the names ahead of time is the difference between a smooth check-in and a phone call from the lobby.
How does cancellation work if my bank appointment moves?
Cancellations and reschedules made at least twenty-four hours before the booked start hour are free — no charge, no rebooking fee, the hour goes back on the calendar. Cancellations inside the twenty-four-hour window are billed as a single hour of the booked room type, which is the only fee the room workflow ever charges outside the per-hour rate itself. Bank and IRS appointments move; the policy is built around that.
Can I schedule a Florida notary in the room for a Form 1583 signing?
Yes. A Florida-licensed notary can be scheduled into the four-person or eight-person room as a flat add-on attached to your booking from the dashboard. The notary handles Form 1583 signings for new Virtual Office activations, Operating Agreement amendments, and other documents that need a notarized signature in front of witnesses. The notary fee is itemized separately from the room hour. For a Form 1583 specifically, the Virtual Office plan already includes the primary applicant's notarization — the room add-on is for additional members, repeat signings, or non-Virtual-Office documents.
What times can I book — evenings and weekends?
The booking calendar covers our standard Monday-to-Friday office window in the dashboard. Evening, after-hours, and weekend bookings are handled as a separate request rather than a self-serve hour pick, because they require staffed building access we coordinate with the lobby in advance. If you need a Saturday signing or a late evening client meeting, send the request through the dashboard or to the contact channel and we confirm with the building before locking the hour.
